ADMARE COMMUNITY PRIVACY STATEMENT
adMare BioInnovations (“adMare”) fosters Canadian innovation in the life sciences industry.
The adMare Community (the “Community”) allows users to connect with peers from across the Canadian life sciences network. The Community is accessible online through our website: community.admarebio.com. Registered users can share and discuss bioinnovation news, events, or their own research. The Community provides a public forum to make professional connections in the bioinnovation field, develop networking skills, and find opportunities. The Community includes access to a public social forum and job board.
We have developed this Statement to help you understand how adMare collects, uses, discloses, and protects your personal information in relation to the Community forum we offer, as well as related products, services and activities.
adMare is based in Canada and complies with Canadian privacy laws, including the Personal Information Protection and Electronic Documents Act (“PIPEDA”), as well as applicable provincial laws, such as those deemed to be substantially similar to PIPEDA.
GIVING AND WITHDRAWING YOUR CONSENT
Please read this Statement carefully. By visiting and using our Community, creating or maintaining an adMare Community account, contacting adMare, or otherwise participating in the Community, you acknowledge the notices in this Statement. If you do not agree with our Statement and practices, you must refrain from participating in the Community.
We collect, use, and disclose your personal information with your consent and as permitted by applicable privacy laws. Depending on the information we collect and the purposes for which the personal information will be used, your consent may be express or implied. When you voluntarily provide personal information to us, we will imply your consent to use and disclose that information in accordance with this Statement.
If you wish to withdraw your consent to our collection, use, or disclosure of your personal information, please contact us as set out in the “Contact Us” section below. In some cases, withdrawal of your consent may not be possible due to legal obligations or requirements. Withdrawal of your consent may also mean that we will no longer be able to provide certain services to you.
If you withdraw consent relating to your personal information, we may choose to delete or anonymize any or all of your personal information in our system, including your account and account record. We may also keep a record of your withdrawal of consent.
In some ways, the Community is similar to other social media platforms. The information that you post and provide to the adMare Community is neither confidential nor private. Other Community members can view and access whatever you post. Please do not post sensitive information, or information about others without their consent. adMare will only keep confidential your account credential information.
COLLECTION OF YOUR PERSONAL INFORMATION
adMare collects personal information directly as well as through some third-party service providers. For more information relating to how adMare uses third parties in relation to your personal information, please see our section on Third Parties below.
If you provide personal information about another individual to us, it is your responsibility to obtain the consent of that individual to enable us to collect, use and disclose their information for the purposes which you have provided it to us and as described in this privacy statement.
adMare collects various types of personal information, including the following:
Personal Information You Provide to adMare
- Contact information: We collect your contact information when you register for an adMare Community account, when you link your profile or account to social media accounts (e.g. LinkedIn), or otherwise during our operations. Contact information may include your name, e-mail address, and location.
- Emails, messages and phone calls: If you email, call, chat, or otherwise communicate with adMare, we may keep copies, records, recordings, transcripts, or notes of such communications including any personal information communicated by you.
- Participation information: When you sign up for various events and other offerings through the Community, we may collect information about your interest and participation in such events in connection with your account. We may also collect information relevant to providing such programs.
- Social media information: when you visit or message (whether directly or indirectly) any one of adMare’s social media platforms (e.g. Twitter, LinkedIn), or connect your account to your Google or LinkedIn account or other social media account, we may collect personal information such as your name, contact information, opinions, or any other information provided or made available by you.
- Other information: we collect any other personal information that individuals give or submit directly to adMare on a voluntary basis.
Personal Information Automatically Collected When Using the Site
- Technical and usage information: adMare uses third-party providers, such as Google Analytics, to collect information about your engagement with the Community. We may collect information about your device, such as your internet protocol (IP) address, browser type, internet service provider (ISP), platform type, device identifier, manufacturer and model, as well as the operating system you use. With respect to your visit to the Community, we may get information that includes the pages you visit, when and how long you visit the Community, your actions within the Community (e.g. number of clicks), connection speed, crashes and other system activity, the URLs you visited before and after using the Community, and content that you download from the Community.
- Tracking technology: adMare may collect personal information when you access the Community via Google Analytics and other similar tracking technologies. This is addressed further in the “How we use Tracking Technology” section below.
USE OF YOUR PERSONAL INFORMATION
adMare uses personal information for a number of purposes, as permitted by law. These purposes may be clear to you at the time of collection, or may be reasonable in the circumstances. In addition to the obvious business and legal purposes for which we may use personal information, we use personal information for various purposes, including the following:
- Communications: We may use your personal information to correspond with you and to manage our relationship, including in relation to requests you make through the Community or to respond to your questions, comments, or concerns. We may use your information to provide you with services, information, or products you request.
- Participation information: We will use the relevant information you provide us to enable your participation in our events and other offerings you may request through the Community. We may use this information to help us improve the Community and our offerings to you, and to understand engagement with adMare and the Community.
- Device, technical and usage information: We use information to understand traffic and activity on the Community, to enable us to improve the Community and our offerings to you, and to understand engagement with adMare and the Community. We monitor system usage, server and software performance to maintain, ensure, and improve the integrity of the Community, related information, and electronic services.
- Legal and regulatory requirements: We may use your personal information to meet our legal obligations and for regulatory purposes.
HOW WE USE TRACKING TECHNOLOGY
The Community platform uses cookies to help ensure the platform functions properly as well as to collect information as you navigate through the Community. You may customize which categories of cookies you wish to accept. Some cookies are required to enable certain aspects of the website to function, such as those that help identify you with your account, to record your cookie selections, and filter for security purposes. You may also accept the use of other cookies, such as social network functional cookies and trackers which help with social media platform displays, including personalization, and connections with your social media accounts. You may also opt-in to analytics cookies which help us understand your interest and engagement in the Community. Details about each of these cookies categories, and options to select them, are available in your privacy profile page in your account in the Community.
CHOICES YOU HAVE ABOUT YOUR PERSONAL INFORMATION
We want you to understand your choices and make informed decisions about the ways in which adMare uses your personal information.
There are several options available for you to manage your privacy preferences, including contacting adMare or third parties directly or changing your browser or device settings.
Using your Privacy Choices
The primary way for you to manage your privacy in the Community is through the various privacy options in the “My Settings” tab in your account profile.
Under “My Settings” you may control various aspects of your Community engagement, including whether and how other users can see your information and how they may connect with you. For example, you may select whether other users can search for your profile and message you. You may choose your notification preferences, including the option to turn off all notifications.
You will also find your cookie selection choices under the “My Settings” tab in your account profile.
We encourage you to manage your own privacy settings in the Community.
DISCLOSURE OF YOUR PERSONAL INFORMATION
We will only disclose your personal information collected in respect of the Community to third parties where permitted by law or to our partners, contractors, designated agents, or third-party service providers to assist us in relation to the provision of services for the Community.
Voluntary Public Disclosure by You
You disclose information to the public when you publish or post content to the Community. Any information that you disclose through the Community will become publicly available.
Third Parties
We will disclose your personal information to trusted third parties when reasonably required to perform functions on our behalf. In such cases, we take steps to help ensure our service providers only use personal information for authorized purposes and implement reasonable privacy and security safeguards.
Services that we use to perform functions on our behalf include:
- Analytics: We use Google Analytics to assist us with reporting and analytics, member engagement and communications, and to track and analyse usage information about our Site.
- Hosting & Software: HiveBrite runs the platform and created the software on which the Community is hosted. HiveBrite is based in France, but may also transfer data to third-party countries such as Australia, Singapore and the United States.
Law Enforcement
Under certain circumstances, adMare may disclose your personal information without first obtaining your consent to law enforcement and other governmental authorities when we are required or permitted by law to do so. This could include disclosure for the reporting or investigation of improper or unlawful activities, to comply with court orders, to protect health and safety, or to protect adMare’s rights and property.
SECURITY & PROTECTION OF YOUR PERSONAL INFORMATION
adMare takes reasonable steps to protect your personal information. We use administrative, technical, and physical safeguards to protect against unauthorized access, collection, use, disclosure, and disposal, in a manner appropriate to the sensitivity of the information.
Under some circumstances, we may anonymize or aggregate your personal information so that it can no longer be associated with you. We reserve the right to use such anonymous and de-identified data for any legitimate business purpose without further notice to you or your consent.
ACCESS AND CHANGES TO YOUR PERSONAL INFORMATION
Most of the information that adMare holds about Community members is information that users have directly provided to us. As such, it is often accessible through the Community website. For information access, correction and deletion issues, we recommend that you consult the Community website first. In particular, you should refer to the “My Settings” tab in your account profile.
You may also request access to, correction of or deletion of the personal information held by adMare about you by writing to the adMare Privacy Officer in writing at the contact information noted below, with sufficient detail to enable adMare to understand the request and identify the subject personal information.
When you contact adMare, we may ask for further information to confirm your identity and the nature of your request. We will respond reasonably to your request and in accordance with the law. In some cases, adMare may need additional time to respond to a request, in which case we will provide you with written notice of the extension.
adMare may charge a reasonable fee according to the cost required to retrieve and provide access to the requested information. We may provide an estimate of the fee in advance and in some cases, will require a deposit for all or part of the fee.
adMare may update this Statement from time to time and post any changes. If you use the Community, you acknowledge notice of the most up-to-date version of the Statement posted at that time. adMare’s collection, use, disclosure, and retention of your personal information will be governed by the version of the Statement currently in effect. As a result, we encourage you to periodically review our Statement for the latest information on our privacy practices and to contact us if you have any questions or concerns.
